Privacy & Data Notice

This notice explains what information the Gear Hub collects when you request to borrow equipment, why we collect it, and the choices you have.

1What we collect

When you submit a checkout, soft-hold, or extension request, we collect:

• Your name and email address
• The request details you provide — the items requested, the dates, and any notes you choose to add

2Why we collect it

We use this information only to operate the Gear Hub: to process and respond to your request, coordinate pickup and return, and send you approval and status updates by email. We do not use it for advertising or marketing.

3Where it's stored and who can see it

Your information is stored in a private database within Google Workspace. It is accessible to the equipment owner you are requesting from and to the operator who builds and maintains the system. It is not publicly visible.

4How it's shared

We do not sell your information. We share it only with:

• the equipment owner handling your request;
• the service providers that run the system (for example, Google Workspace for storage and email); and
• others where required by law.

5How long we keep it

We keep your information for as long as needed to operate the service and maintain a record of borrowing activity.

6Your choices

You can ask us to show you the information we hold about you, or to delete it. To make a request, email hello@dlr.studio.

7Third-party services

The Gear Hub runs on Google Workspace (including Google Sheets and Gmail) and standard web hosting. Information handled by those providers is also subject to their own privacy policies.

8Changes to this notice

We may update this notice from time to time. Any changes will be posted on this page with a new effective date.
